How we use personal information in our website and business relationships.

This notice explains how Barleylodge Consulting Limited (BLC) uses personal information when you visit our website, contact us, book a conversation or deal with us as a business contact. BLC is the controller of this information, meaning we decide why and how it is used.

Information we use

When you contact us, we collect the details you provide, such as your name, organisation, email address and message. Callback requests also include your telephone number and preferred time. Appointment bookings include contact details, appointment information and related correspondence. Please avoid including sensitive personal information or client customer data in an enquiry.

In our business relationships, we use professional contact details, job roles, relevant correspondence, agreements and billing information. We receive this directly from you or from the organisation you represent. Our website and service providers may also process technical information, such as IP addresses, browser details and request or security logs, to deliver and protect their services.

Why we use it

We use enquiry and booking information to respond, arrange conversations and follow up the matter you raised. We rely on our legitimate interests in communicating with people interested in our services and managing business relationships, taking account of their rights and reasonable expectations. Sending an enquiry does not subscribe you to a marketing mailing list.

We use business contact and assignment records to organise and deliver consultancy, administer agreements and maintain necessary evidence. For contacts representing an organisation, our basis is legitimate interests in providing and managing those services. Where you personally enter a contract with us, we may instead use information necessary to fulfil that contract or take steps you request beforehand.

We use information where necessary to meet legal obligations, including accounting and tax requirements, and for our legitimate interests in protecting our services, preventing misuse and establishing or defending legal claims. If we ask for consent for a particular use, we will explain it at the time; you can withdraw that consent without affecting earlier lawful use.

Your choices

You choose whether to contact us or book a conversation. We need the required contact and enquiry details to respond or arrange the service requested. Without them, we may be unable to do so. We do not use your information to make solely automated decisions with legal or similarly significant effects on you.

Who receives information

Authorised BLC personnel and people supporting the relevant work may access information where needed. We use service providers for website hosting and security, enquiry handling, appointment booking, email, business administration and website usage statistics. When you open Microsoft Bookings or a separate Labs application, that service may process additional information and use its own cookies or browser storage. Please read the privacy information provided by that service.

We may share necessary information with professional advisers, accountants, insurers, relevant delivery partners or authorities where needed for the stated purposes or required by law. We do not sell your personal information. Access and disclosure must be limited to what is appropriate for the work.

International processing

The services we use for hosting, enquiries, email, appointment booking and website statistics may process information outside the UK, including in the United States. You can ask us about the processing locations and transfer arrangements relevant to your information at privacy@barleylodge.co.uk.

How long we keep information

For enquiries that do not become client work, our retention rule is to review inactive enquiries quarterly and delete them at the first review after 24 months from the last substantive contact, unless a continuing need is documented. Our quarterly review covers related mailbox copies, form submissions and relevant booking contacts, appointments and correspondence. Provider backups and technical logs follow their separate arrangements; the same deletion timetable cannot be assumed for those copies.

Client and business records follow their relevant purpose and contractual requirements. Substantive project records may be kept for up to seven years after completion where still needed and permitted. A limited core of agreements, final outputs, approvals and significant decisions may be kept for up to fifteen years where justified for professional liability and permitted by the contract. These periods do not apply automatically to every email or working file.

Accounting and tax records are normally retained for seven years after the relevant financial year. Records may need to be kept longer for a legal obligation, claim, dispute or investigation. Technical and security records are retained according to their operational purpose and applicable provider arrangements. We restrict retained information and remove unnecessary material.

Understanding website use

We use aggregate statistics to understand how visitors reach our website, including referrals from sites such as LinkedIn, and which pages are viewed. We also count enquiry actions and approximate engagement, such as a page being actively viewed for at least 30 seconds. We use this information to improve the website and its content. We retain daily statistical totals for up to 13 months. Our statistics contain no visitor identifiers, full referral addresses or enquiry contents. We do not use these statistics to identify individual visitors, link browsing activity to named enquiries or build advertising profiles.

Where personal information is involved, we rely on our legitimate interests in understanding and improving the website. You can turn off optional statistical measurement using Statistics settings in the footer. You can dismiss the notice after choosing your setting and reopen it there at any time. We use local storage in your browser solely to remember your statistics choice, until you change it or clear your browser storage. Our statistics do not use analytics cookies. You can stop these optional counts at any time using Statistics settings. We also respect browser Do Not Track and Global Privacy Control signals. Cookies and storage used by external booking services or separate applications are described in their own information.

Your rights and complaints

Depending on the circumstances, you can request access, correction, deletion or restriction of your information, and transfer of information where the right to portability applies. Contact privacy@barleylodge.co.uk. We may need to confirm your identity and normally respond within one month, explaining any lawful extension.

You have the right to object to processing based on legitimate interests because of your particular circumstances. We will consider your objection and stop that processing unless the law permits us to continue.

You can raise a complaint with either privacy contact. We acknowledge privacy complaints within 30 days and investigate without undue delay. You may also complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint. You do not have to complete our complaints process first.

Other information and updates

When we handle personal information on a client’s behalf, we follow its instructions; the client’s privacy notice explains its use of that information. Employment records are outside the scope of this website notice. Separate information will be provided where needed for another service or purpose. We will update this notice when our arrangements change.
